Contextualisation, Dissemination, Replication Strategy

At the beginning of the project, a comprehensive strategy will be elaborated that links all contextualisation, dissemination and replication tasks and their related products. The strategy defines the phases and key contents of the project’s communication, the target groups addressed, the channels used and the roles each partner plays. It will be reviewed annually (months 15 and 27) and modified if needed.

Live Case Studies

The development work implemented in the pilot cities Hamburg, Rome and London will be documented in three ‘Live Case Studies’, similar to Blogs. Starting with a first version in month 6, they will be further elaborated and updated every 3 months until they reach their final version at the end of the project. The Live Case Studies will be available through the project website, the final version will be published as pdf and printed versions.

User requirements definition

This deliverable defines stakeholder engagement process and elaborates requirements management approach in smarticipate project. Also, it will identify and describe cities specific use cases, functional and non-functional requirements and present detailed requirements analysis. Responsible: UWE

Interface and toolkit redbook

Interface and toolkit redbook: the accompanying documentation is released in 3 stages (M12 draft, M18 intermediate, M28 final)

Scoping Report

Experiences from 12-15 European cities in applying elements of ICT-enabled open governance will be portrayed in a scoping report illustrating the variety of existing local practices. The scoping report will be published both in electronic (pdf) and printed form.

Cities open governance models

This deliverable will model planning processes of partner cities in BPMN/UML use case modelling and identify potential scenarios where open data can be used for participatory planning and decision making. These process models will be used to identify commonalities in the planning processes and to develop a generic open governance model.

Policy Paper

The essence of the overall process of developing the tools and applications during the smarticipate project will be published in a Policy Paper, including policy recommendations for further advancing ICT-enabled open governance on the local level in Europe.

Beta Application 1 testing schedule report

Report on results of first system test with detailed schedule list for improvements (M 30).

smarticipate packaging and deployment report

Test schedule report of packaged beta application with list of improvements for first packaged beta release. Including smarticipate Systems Applications (AIT) – Bug free packaged system components with configuration file and documentation report ready for deployment at city IT infrastructures and piloting of smarticipat and toolset (M33).

Final evaluation report

This deliverable will produce a comprehensive report on evaluation of smarticipate tools (process, exercises, results) and the extent to which these tools have been able to achieve their objectives and matching cities expectations. This report will highlight strengths and areas of potential improvements.

Integration requirements report

Report specifying system, hardware, software and data specifications along with integration concept and deployment flowchart.

Open Data harmonisation and integration report

User case specific data harmonization and integration into smarticipate server ready for testing and piloting. These will be delivered in two steps, aligned to the sequential approach to the three applications (M 30).

Citizen Dialogue Design Requirements

A Report of the gathered requirements and derived recommendations for citizen dialog design. Responsible: AIT

Newsletter

The already established e-newsletter ‘Informed Cities’ will dedicate two editions per year (=six editions) solely to the smarticipate project, and be sent to 2000+ recipients in months 4 / 10 / 16 / 22 / 28 / 34.

Intermediate front-end prototypes

Intermediate prototypes (one for each use case) that enable interaction with the user, but that do not rely on the full backend functionality

Final front-end prototypes

Functional prototype will be delivered for the agreed use cases that enables integration with the backend software developed in WP5.

System integrated beta application 1& 2

First system integration and documentation report, which will be superseded by an improved version after 1st testing cycle in Task6.5 (M 18, M28).

European Conference

Towards the end of the project, a larger (approx. 100-150 participants) conference will convene all the stakeholders involved in the Dialogue events, together with a wider audience, to explore and discuss the project outcomes and promote their replication.

Stakeholder Dialogue Events: 5 Events during period

Key stakeholder groups relevant for the replication of the smarticipate outcomes will be invited to a series of five one-day Dialogue Events, where they will receive first-hand information on the applications and processes developed in the pilot cities. They will take place during months 16-21.
